1. Training meeting started at ACS with Volunteer training.
2. Leadership training continued at the Scout Hut. An ice breaker was done, “Candy Connections”, to get the group familiar with each other.
3. Since time was running short, it was decided that a working lunch would be best. The OCC’s provided lunch for all the leaders.
4. Cecelia Clark asked the leaders what they thought their job/role was as a GS leader. Ideas throw out were:
ð To model the rules of GS- The GS Laws and Promise
ð Make sure the girls have fun- keep the focus on the girls
ð Develop Character, Courage and Confidence
ð Keep Girls safe
ð Enrich a sense of “sisterhood”
ð Attend leadership training and development opportunities
ð Make sure all girl & adults are registered members and have fill out the health assessment
ð Record Troop Activities
ð Keep OCC in the loop
ð Represent GS in a positive light at all times
ð Communicate with parents & OCC
ð Should like kids and like to be around them
ð Facilitate “Girls Leading”
5. Cecelia handed out the “Volunteer Agreement” and asked everyone to fill it out and return it at our October Meeting.
6. There are still open positions that need to be filled: Troop Consultants and Hut Manager. Please see the OCC’s if you are interested. There is a detailed job description for each listing in troop leader binder.
7. Jennifer Collins went over the details of the calendar:

8. Website is currently being maintained by a former Baumholder GS leader who has moved back to the states (Kristy Payne). It was asked if anyone knew how to do “HTML” computer programming as this knowledge would be helpful if/when we need a new webmaster.

11. Registration: Up to this point, the OCC’s have been handling all registrations. After CARE Fair and going forward, it will be up to each troop leader(s) to report this. Fill out the brown form; keep the yellow copy for your records.

14. Fundraisers (3 Big ones for all troops)
ð Be a Reader: Book and Magazine Sales
· Girls will receive postcards to mail to friends/family, also a website that can be emailed
· For each book: troop will receive $1.75; OCC .25 cents
· For each magazine: troop will receive $1.50; OCC .50 cents
ð 2009 Calendars
· Start selling in November during “prime calendar buying time”
· Pocket Calendars: retail $3.50; troop makes $2; OCC .45 cents
· Wall Calendars: retail $5.00; troop makes $3; OCC .70 cents
· Email order to Jennifer by September 24th
ð Cookies Sales
· Theme: Hollywood/Movie
· Cookies will need to be ordered at October leaders meeting
· Suggestion was not to order more than 100 per girl; keep the average between 50-100 boxes per GS
· Troops will get to decide what they want to order! Don’t have to order all the flavors if you don’t want to. However, keep in mind that cookies must be ordered in palates- so troop may get a few extra or a few less.
· Kick Off- January 30. OCC’s ordered gifts for each girl- Lip Balms with the Hollywood theme. *SECRET*
· OCC’s are looking for a cookie manager for our council. Shawna Roberts did it last two years, but would like to hand over to someone else. OCC’s ordered a “Director’s Chair” as a “thank you” gift.
· Each troop will also need a “cookie mom” or troop cookie manager. Can not be a leader.
· T-shirts with the logo “That’s a Wrap” are available to order for cookie moms or troop leaders. Cost is $4.35-$5.75 each. Please bring orders with money to October leaders meeting.
15. Agenda for the leaders meetings are in the binders.
16. Troop Field Trips: Any “trip” that isn’t at the regularly schedule meeting location (scout hut or school) will need paperwork filled out.
ð Short Trip- (i.e. Commissary, Downtown Baumholder, etc…) paperwork will take 2 weeks to process. There are different guidelines for each age group (Daisy, Brownie, etc…). See your Troop Binder.
ð Long Trip- (i.e. overnight) will require a 45 day minimum approval time.
ð Before planning a trip, please go over the steps in “Safety Wise”.
ð Cecelia is planning First Aid training.
ð Parent Permission Slips- 1 per girl
ð Trip Budget- see sample in binder (need itemization)
ð Check List for Big Trips- (see binder)
ð Application to operate Trip- (see binder)
ð Long trips require additional insurance (45 days for approval). Troops must cover the policy cost. Very reasonable prices (trip to Spain for 20 girls, 4 adults was approx. $10)

· Jennifer is available to meet one-on-one with each leader to go over questions.
17. Training: Leaders should keep track of all their training on the provided cards in their binders. These cards can be taken with you when you PCS so that you don’t have to retake classes.
18. Uniforms: Leaders should encourage their girls to wear their uniforms to meetings and special events. It was also suggested that the girls be encouraged to wear their uniforms to school on meeting days.
19. European Castles and Palaces Badge
ð Sponsored by Heidelberg Council
ð Girls learn about the history of castles
ð Different requirements for each age group
ð Cost of Badge: $2.50 each
ð OCC’s would like to plan a community trip to the Heidelberg Castle around December-January time frame. Trip would include: two buses from MWR so that parents and siblings can also participate, admission to the castle for girls and leaders, followed by lunch/dinner at a German restaurant and/or ice skating in city center. OCC’s are going to apply for a welfare grant from the BCSC to help pay for a portion of this trip.
20. Troop Money: Each troop has a money bag and a receipt book.
ð No more than $20 petty cash allowed
ð Troops should “deposit” their money weekly into the locked box in the GS office. Allyson will pick up money and deposit into troop account.
ð If funds are needed, please fill out a “request for troop funds” form, found in the office. Allyson needs about a week to process your request.
ð If you choose to purchase things on your own, please keep your receipt for reimbursement. No receipt, no payment.
ð Allyson will give you your troop balance at the leader’s meeting each month. It’s also suggested that you keep track of your own money as well.
